How to run consignment on Shopify POS

Before you open: tag every item

Each consigned item needs to be a product, or a variant for sizes, that staff can scan. Two things make the counter painless:

  • A SKU and barcode that identify the consignor. With Consignment Hub, Quick add gives every item one made of the consignor's code and a number, like C0001-0007.
  • A printed tag. Shopify's free Retail Barcode Labels app prints barcode labels from the Shopify admin to supported Dymo and Zebra printers. It can't print from the POS app itself.

Keep the quantity at one for one-off pieces, so an item sells out everywhere the moment it's sold.

At the counter

  • Scan the tag. The sale is an ordinary Shopify order, tracked the same way as an online order.
  • Give discounts with a discount code or a manual discount on POS. The consignor's share is worked out from the price after the discount, before tax.
  • Avoid custom sales for consigned goods. A custom sale isn't linked to a product, so nothing can tell whose item it was.
  • Sell several consignors' items in one order as normal. Each line is split for its own consignor.

Returns and exchanges

Refunds on POS are included with every paid Shopify plan; exchanges need POS Pro. Either way, the refund reaches the consignor's balance:

  • Refunded before you've paid the consignor: the sale simply drops out of what they're owed.
  • Refunded after you've paid them: Consignment Hub takes it off their next payout, so you're never out of pocket.

Many small consignment shops start without POS Pro. It matters most once you have staff who need limited permissions, or customers who want exchanges.

Closing the day and paying consignors

An in-store sale is fulfilled at the counter, so your return window starts the day it sells. Once the window has passed, the sale is payable.

Consignment Hub's Home lists who is ready to be paid. Pay each consignor from the till, by check or by transfer, record the payout with its method and date, and email them a PDF statement if you like.

Questions

Do in-store and online sales go into the same balance?

Yes. Both are Shopify orders, so a consignor's balance includes everything they've sold, wherever it sold.

Can staff see who owns an item?

The SKU on the tag starts with the consignor's code. In the Shopify admin, the product page also shows the item's consignor.

What happens to sales made offline?

Shopify POS can take cash payments offline and syncs the orders when it's back online. They're split and added to balances as soon as they reach Shopify.
